When a custom system beats another SaaS subscription
Most of the time, the right answer to “we need a system for this” is to buy one. Off-the-shelf software is cheaper, faster to get running, and someone else maintains it. We say this to clients more often than they expect from a software consultancy.
But every so often, our Process and Data work turns up a requirement that no existing tool actually meets — not “doesn't meet perfectly,” but genuinely doesn't meet. Usually it's because the business has a workflow specific enough, or a combination of systems unusual enough, that every off-the-shelf option means bending the business to fit the software rather than the other way round.
That's the point where we stop recommending and start building. Not because bespoke is more impressive, but because the alternative is years of workarounds, spreadsheets bolted onto the side of a tool that was never quite right, and a team that quietly stops trusting the system.
The test we use internally is simple: would a well-configured, off-the-shelf tool solve this in a way the team would actually use? If yes, we'll point you to it, sometimes at the cost of a contract for us. If no, that's when bespoke software earns its place — and it's usually a smaller, more specific build than people expect, because it only needs to cover the gap, not replace everything around it.
